Processing of Personal Data for Applicants and Tenants

We process your personal data when you join our queue, apply for housing, when you become our customer, and for a time after your customer relationship ends. Your privacy matters to us – please read on to learn more. Personal data is any information that can be linked to you as an individual (e.g., name, address, phone number, email).

When You Join Our Housing Queue

During your time in the queue, we collect and process personal data to administer your application/registration – based on our legitimate interests. Your data remains as long as you stay in the queue. If you no longer wish to remain, you can request deletion of your personal data.

When You Are Offered a Home

If you’re offered a home, we need to process additional data – e.g., your financial situation, employment, and how you’ve managed previous housing and rent payments. This includes a credit check, obtaining information from collection agencies and the Enforcement Authority, and processing employment certificates and other documents, plus references you provide. If you have a court-appointed trustee or guardian, we must process that information as well. For student housing, we will process an admission letter or other proof that you will study during the tenancy.

We retain your data as long as it is relevant and current. We do not store the credit report or information from collection agencies/authorities used solely for tenant approval. If you are denied housing because we cannot approve you as a tenant, we will retain your personal data for three months after the decision.

During the Tenancy

Once you become a customer and sign a lease, we process your data to perform and administer our obligations as landlord and contracting party. This includes sending rent invoices, handling payments, obtaining utility consumption data (electricity, water/heat), conducting rent negotiations, and sending important information you need. We may update your information against public registers to ensure accuracy. If you live in student housing, we may verify that you’re actively studying. If you have protected personal data, we handle it according to our procedures.

We also process your data to provide services and support and for marketing – based on our legitimate interests in developing, improving, and selling products and services and maintaining good customer relations. Your data may be used so third-party companies can market useful products related to your tenancy (e.g., broadband, insurance, electricity).

We process your data when necessary to establish, exercise, or defend legal claims (e.g., disturbances, late or missing payments, or damage). We may disclose data to the Social Services Committee or other authorities when needed. We may engage processors (e.g., repair contractors, broadband/electricity providers, collection agencies, IT system providers).

We also disclose data where required by law or authority decisions. If data is transferred outside the EU, we ensure the transfer is lawful. We keep your data as long as it is relevant. Guarantee undertakings, and trustee/guardian decisions are deleted two years after they cease to apply.

After the Tenancy Ends

We delete or anonymize your data after you move out, but must keep certain items for at least two years (e.g., the lease, social services decisions, student certificates). Data in accounting records (e.g., payments) is kept for seven years, including the current year.

Your Rights

You may opt out of marketing at any time. You have the right to access your data (register extract), rectification of inaccurate data, and to request restriction of processing (e.g., if you contest accuracy). You have the right to data portability and to complain about our processing to us and to the supervisory authority, the Swedish Authority for Privacy Protection (IMY), if you believe we do not comply with the GDPR.

Camera surveillance in Properties

We may collect and process images of you from cameras in some properties. Where surveillance is used, it is clearly signposted. If the images identify an individual, they constitute personal data. We follow the guidance from Fastighetsägarna and SABO on camera surveillance.
