Internship Project Delivered a Smart Case-Management Solution
A new AI tool helps ByggVesta interpret free-text maintenance requests and identify patterns. It gives the company better insight into recurring issues and supports preventive measures.

From Student to Innovator
How can we better understand our residents’ needs, identify recurring problems, and take the right action – preferably before something breaks? For Otto, a master’s student in IT & Management at Linköping University, this became the central question during his internship at ByggVesta’s head office.
From Student Housing to Head Office
Otto lives in ByggVesta’s Colonia student housing in Linköping and has served as a community coordinator there since spring 2024. During a focused three-month internship, he worked on a real-world assignment: developing a system to analyze service cases.
“It was great to have my own responsibility and to work on a real problem. It felt meaningful,” says Otto.
AI as a Tool for Better Understanding
Residents often submit maintenance requests in free text, which makes it hard to extract data systematically. Otto’s system tackles that challenge by converting unstructured text into structured insights. Using AI, he built a tool that automatically analyzes and categorizes requests by keywords.
“The system identifies common problem areas – like lighting or ventilation. Requests that the first step can’t categorize are analyzed with ChatGPT to further interpret content. ChatGPT also produces a summary for each category. That makes it easier to see patterns over time and location,” Otto explains.
From Excel to Insights in Power BI
The AI analysis produces an Excel file with tagged cases, the original text, and ChatGPT’s summaries. The file is then loaded into Power BI, where both the big picture and details are visualized.
With this model, the team gains not only categorization and summaries, but a new level of oversight – enabling quick analysis and clear conclusions about where and when to focus resources for prevention. That strengthens residents’ living environments and lowers operating costs through more proactive work.
Innovation in Practice
For Otto, the internship offered both freedom and challenge.
“The task was quite open-ended at first, which was challenging – but also what made it fun. I’ve used both my ability to structure work and my technical skills, like Python programming and some frontend with CSS,” he says.
The project shows how new technology and young talent can drive innovation in real estate – and how we as a company can get better at listening, not only to our residents’ voices, but also to their free text.
With AI, we now have a tool to analyze service requests, spot trends over time, and make decisions faster and more accurately in property management.
“Live to Grow” in Practice
ByggVesta’s student-housing concept is about creating the conditions for young people to grow. Here, it also became a way for us to develop together with the next generation of expertise.
